Transfers between sites and stocktakes

Move toys between your sites without losing track of them, and check that the shelves match Gizzago.

Who can do this: coordinators and admins.

Both live on the Stock moves tab: Toys > Stock moves. Transfers need at least two sites.

Steps​

Send toys to another site​

  1. In the sidebar, choose Toys, then the Stock moves tab.
  2. Press New transfer.
  3. Choose where the toys are coming From and going To, then press Start the list.
  4. Scan each toy's label, or type its code in the box (Scan or type an item code). Each one shows a message such as "HB-0061 added".
  5. When the box is packed, press Send. The transfer now says On its way, and the toys are "in transit": they are not available at either site until they arrive.

Receive a transfer​

  1. At the other site, open Toys > Stock moves and click the transfer (it shows On its way).
  2. Under Tick off what arrived, check each line. If fewer arrived than were sent, change the number under Arrived.
  3. Press Mark received.
What you'll see

The transfer shows Received, and the toys now belong to the new site. If something did not arrive, it shows Some missing, and the gap is recorded as missing so someone can look for it.

Count a shelf or a whole site (stocktake)​

  1. On the Stock moves tab, find the Stocktake card.
  2. Choose the Site, and either one place at that site or The whole site.
  3. Press Start stocktake.
  4. Scan each toy, or type its code in Scan or type each item code. Each scan shows a message such as "HB-0100 counted (1)". For a shared label, scan the code once for each unit you count.
  5. The heading keeps score, for example "48 of 52 counted · 4 to sort out".
  6. For each problem, choose what to do:
    • Not seen: Mark missing, or Leave as it is.
    • Count differs: Correct the count, Mark the rest missing, or Leave as it is.
    • Found here (it belongs somewhere else): Move it here, or Leave as it is.
    • Recorded as on loan: Return it at the desk, or Leave as it is.
  7. Press Finish stocktake.

You can stop part way and come back: unfinished stocktakes are listed under Earlier stocktakes as In progress.

Good to know​

  • A transfer you have not sent yet shows Being listed. You can remove a line before you press Send.
  • Stocktake choices are kept in the audit log.
