Move, repair, lose or retire a copy

Change what is happening to one copy of a toy: where it is, what state it is in, or whether you still have it.

Who can do this: coordinators and admins.

Each labelled copy (and each shared-label count) has its own page, with its code, where it is and its history.

Open a copy's page​

  1. Open the toy's page and choose the Items tab.
  2. Click the copy's code, for example HB-0112.

The header shows the code, "One labelled copy" or "5 sharing one label", its condition and its home site. The Where it is card shows its shelf and state, or who has it on loan.

Steps​

Send a copy to repair (or anywhere else)​

  1. Press Move.
  2. Check From (where it is now). For counted stock, enter How many.
  3. Under To, choose the place, for example Hollowbrook Community Centre › Repair shelf.
  4. Under Its state there, choose Repair. (Other choices: On the shelf, Cleaning, Inspection, Quarantine, Incomplete, Missing.)
  5. Press Move.
What you'll see

A message, "Moved". Where it is now shows Repair, and the copy appears in Toys > Care until someone presses Back on shelf.

Mark a copy lost​

  1. In the More card, press Mark lost. For counted stock, enter How many.
  2. Tick Suggest a replacement charge if you might charge for it.
  3. Press Mark lost. Gizzago shows a suggested charge from the replacement value. It does not charge anyone: add it from the member's Payments tab if your library charges for losses.

If it turns up, press Found it at the top of the page (or Found in the More card for counted stock), enter How many were found, and press Back in stock.

Retire a copy​

  1. In the More card, press Retire.
  2. Fill in Why is it being retired?.
  3. Press Retire, then confirm at Retire HB-0112? It leaves stock.

Its history is kept.

Correct a count​

  1. In the More card, press Correct the count.
  2. Choose Which stock, enter Change by (for example 2 or -1) and Why.
  3. Press Change the count.

Edit its details​

Press Edit on the About this copy card to change its Condition, Serial number, Replacement value or Notes, then press Save.

During a session​

While a session is running, the page also shows Lend (or Return if it is on loan). These open the desk with this copy already scanned.
