People and forms

Decide what families are asked when they join, and how you record their children.

Who can do this: coordinators and admins.

This group has three parts:

  • Joining form: the standard questions and how children are recorded.
  • Extra questions: your own questions about adults or children.
  • What families will see: a preview of the joining form with your current choices.

Steps

Change the joining form

  1. Choose Settings in the sidebar, then People and forms.
  2. Under Joining form, choose How children are recorded:
    • Birth month and year: best for suggesting toys, and for the ages in the funder report.
    • An age group only.
    • Do not ask about children.
  3. Choose whether Phone number is required and whether Address is required. An address is needed for Gift Aid and to check people live locally.
  4. Switch on Check proof of address at the first visit if you ask for it at the desk.
  5. If you want a nickname for each child, switch on Ask for a nickname for each child and fill in Why do you ask?. Families see the reason next to the question.
  6. Press Save.
What you'll see

"Joining form saved", and the preview under What families will see changes to match. If you switch on nicknames without a reason, Gizzago asks you to "Tell families why you ask for a nickname before you turn it on."

Add your own question

  1. Under Extra questions, press Add a question about adults or Add a question about children.
  2. Type the Question, for example "How did you hear about us?".
  3. Choose the Answer type, such as A short answer, Yes or no or Pick one from a list (then type The choices, one per line).
  4. Questions are optional. To make one required, tick Required when someone joins, and fill in Why do you ask?. Families read this next to the question.
  5. Choose Who can see the answer: Coordinators and admins, or Also volunteers at the desk.
  6. Press Add field.
What you'll see

The question is listed under Extra questions, marked Required or Optional, and appears in the preview.

To stop asking a question, click it, switch off In use and press Save field. Answers already given are kept.

Asking only what you need

Every question you add is personal data you must look after. Ask only what helps you run the library, and say why. This matters most for children (see Children's data).
