Items and categories
Sort your toys into categories, age bands and tags, add your own fields, and set up label codes.
Who can do this: coordinators and admins.
This group uses your library's own word, so a toy library sees it as Toys and categories. It has three parts:
- Categories, ages and tags: how toys are grouped for browsing and reports.
- Extra fields on toys and copies: your own questions, such as "Battery type".
- Label codes: how each labelled copy is numbered, for example HB-0042.
Steps
Add a category, age band or tag
- Choose Settings in the sidebar, then Toys and categories.
- Under Categories, ages and tags, choose the kind of grouping: Categories, Age bands, Tags, Development areas, Accessibility tags or Internal tags.
- Press the add button, for example Add a category or Add a tag.
- Type the Name. For a category, choose what it Sits inside, or leave it as a top-level category. For an age band, fill in From (months) and Up to (months).
- Switch off Show on the public site if you only want it for your own sorting.
- Press the add button at the bottom of the panel, for example Add category.
What you'll see
The new entry is in the list, and you can choose it on any toy.
Tidy up: merge or delete
- Click the entry in the list.
- Under Tidy up, Gizzago shows how many toys use it.
- To merge, choose another entry in Merge into, press Merge, then Merge them. Its toys move across.
- To delete an entry nobody uses, press Delete, then Delete it. An entry in use has to be merged first.
Add your own field
- Under Extra fields on toys and copies, press Add a toy field (about the toy) or Add a copy field (about one copy of it).
- Type the Question and choose the Answer type, such as A short answer, Yes or no or Pick one from a list (then type The choices, one per line).
- Choose Who can see the answer and whether to Use it to filter lists.
- Press Add field.
Fields are optional unless you tick Required when staff add or edit.
Label codes and piece checks
- Under Label codes, set the Code prefix: 1 to 6 capital letters or numbers, such as HB.
- The Next number can only go up, so two toys never share a code.
- Choose what happens by default When something comes back, check its pieces by default: Do not check, Ask "are all the pieces there?", Tick off each piece, Count the pieces or Weigh it.
- Press Save.
