Data, privacy and billing
Keep personal details only as long as you need them, and take a full copy of your data whenever you want.
Who can do this: admins only.
This group has five parts:
- How long details are kept: how long details are kept after a membership lapses, so people can come back.
- Export your data: your data is yours, and you can take a full copy any time.
- Audit log: a record of every settings change, export and money correction.
- Anonymise or export one person: done from the person's own page.
- Billing.
Steps
Set how long details are kept
- Choose Settings in the sidebar, then Data, privacy and billing.
- Under How long details are kept, set Months after a membership lapses. It starts at 12.
- Press Save.
"How long details are kept saved".
Choose a length that matches your library's privacy notice. If you are not sure, ask your trustees.
Not yet: Gizzago records this choice, but it does not yet anonymise lapsed members by itself when the time is up. Until it does, anonymise them by hand from their own page (see Export a list, or anonymise a person). Their loans still count in your reports, but nobody can tell who they were.
Export all your data
- Under Export your data, press Export all my data.
- Confirm it's you, with your password or passkey.
- Wait a moment while Gizzago builds the file.
"Export ready", with the number of files and rows. A zip file downloads with one spreadsheet file per table: people, loans, payments, toys and settings. The audit log records "Exported all library data".
The zip contains personal details, so keep it somewhere safe and delete it when you no longer need it.
Look at the audit log
Under Audit log, press Open the audit log.
Anonymise or export one person
Under Anonymise or export one person, press Go to People, then open the person. Doing it from their own page means you can see exactly who you are changing.
Billing
Billing is not set up yet. The Billing part says so, and there is nothing to do here for now.
