Communications
Make your library's emails come from you, and decide when reminders are sent.
Who can do this: coordinators and admins.
This group has three parts:
- Emails from the library: who emails come from, and what is at the bottom of every one.
- Reminder timing: when reminders go out.
- Email templates: the wording of each automatic email.
Steps
Set who emails come from
- Choose Settings in the sidebar, then Communications.
- Under Emails from the library, type the From name, such as "Hollowbrook Toy Library".
- Type the address in Replies go to, such as your library's email. Leave it empty if people should not reply.
- Write a Footer. Your name, address and charity number are a good start.
- Press Save.
"Emails from the library saved". Every email Gizzago sends from now on uses the new name, reply address and footer.
Change when reminders go out
- Under Reminder timing, set Due-soon reminder (days before), for example 2.
- Set Overdue reminders (days late), separated by commas, for example 1, 3, 7, 14, 28.
- Set Membership expiry (days before), for example 30, 7, 0. A 0 sends one on the day it ends.
- Press Save.
"Reminder timing saved". Each day can only appear once in a list. If you type the same day twice you will see "Each overdue reminder day can appear once."
Dates in reminder emails always show the weekday, so families can see at a glance which session to come to.
Change an email's wording
Under Email templates is every automatic email, each with a switch. Open one to reword it, preview it or send yourself a test. There is more about this in Edit, test or switch off a message.
To see what has been sent, press See sent messages.
Good to know
Gizzago keeps a copy of every email in the sent-mail log, so you can always check what a family was sent and when.
