Export all your library's data
Take a full copy of your library's data whenever you like. Your data is yours.
Who can do this: admins only. Gizzago asks you to confirm it's you first.
Use this for your own backup, for a trustee who wants to look at the numbers in a spreadsheet, or if you ever decide to leave Gizzago.
Steps
- Press Settings in the sidebar, then Data, privacy and billing.
- Under Export your data, press Export all my data.
- If Gizzago asks you to Confirm it's you, type your password (or the code from your authenticator app) and confirm. You come back to the same page.
- Press Export all my data again if the download did not start.
- Save the zip file somewhere safe, such as your library's shared drive.
A message says Export ready, with how many files and rows it holds, and a file called something like
library-data-2026-10-12.zip downloads. Your audit log shows an entry, "Exported all library data", with
your name and the time.
What is in the zip
One spreadsheet file (CSV) per kind of record. Each opens in Excel, Google Sheets or LibreOffice. Together they cover:
- your sites, places, categories, plans and fee rules;
- households, people, children, memberships, consents and Gift Aid declarations;
- toys, copies, codes and missing pieces;
- sessions, attendance, event bookings and reservations;
- loans, charges, payments and cash-ups;
- a list of emails sent (without the email text) and the audit log.
It does not include notes or safeguarding notes.
Keep it safe
The zip holds personal details about families and children. Treat it like a paper membership file:
- Store it somewhere only the right people can open, not on a shared desktop.
- Do not email it as an attachment.
- Delete old copies you no longer need.
Smaller exports
- One list of people: People, choose a chip, then Export CSV. See Export a list, or anonymise a person.
- One household: open a person, press More, then Export (CSV).
- A saved report: see Saved reports and CSV exports.
