"Still coming?" and "Rebook" emails
Cut down on toys sitting uncollected, without chasing anyone or charging fines.
Who can do this: Gizzago sends these by itself. Members answer them with one tap, with no need to sign in. Coordinators and admins can change the wording or switch them off.
The evening-before email
When bookings close for a session (6pm the day before, by default), every family with a reservation for it gets an email called "Reminder the evening before". It asks Are you still coming? and has two buttons.
What the family does:
- They open the email and press Still coming or Release them. A page opens that says Hello and their name, with the session and the toys they reserved.
- If they pressed Still coming, the page says, for example, "Thanks. See you on Sat 17 Oct at Hollowbrook Community Centre." Nothing else changes.
- If they pressed Release them, the page says "Released. Thank you for letting us know, so another family can borrow them." The reservation is cancelled and the toys go back on the shelf.
A released reservation shows as Cancelled under Loans > Reservations, and the pick list for that session no longer includes its toys. A "Reservation cancelled" email confirms it to the family.
The "Rebook" email
If a family does not collect, Gizzago releases their toys 2 hours after the session ends (or when a coordinator marks it Not collected). The family gets a kind "Not collected" email with a Rebook button.
- They press Rebook in the email. A page asks if they want to rebook these toys.
- They press Rebook. Gizzago fills their basket with the same toys for the next open session and opens the basket.
- They check it and press Confirm reservation, as usual.
There is no fee and no ban for a missed collection. It is noted on the family's timeline, so you can spot a pattern and have a friendly word.
Change how these work
In Settings > Borrowing, under Reservations:
- Send an evening-before reminder: on by default.
- If a reservation is not collected: Release it after a short wait (the default) or Keep it until the next session.
- Wait before releasing (hours): 2 by default.
- Cut-off (days before session) and Cut-off time: when bookings close and the evening-before email goes.
To change the wording of either email, or switch one off, see Edit, test or switch off a message. Both are in the Reservations group.
These emails only leave Gizzago once your library's email sending is set up.
