Money and the Gift Aid schedule

Check the money for any period, and make the Gift Aid schedule your treasurer needs for a claim.

Who can do this: coordinators and admins can read Money, and trustees can too. Only an admin can export the Gift Aid schedule.

Steps

Read the money for a period

  1. Choose Reports in the sidebar, then the Money tab.
  2. Choose your dates in From and To, then press Show.
  3. Read the four tiles: Charged, Received, Waived and Open charges now (what people still owe today). Each tile opens the ledger.
  4. Use the three tabs below them:
    • Ledger: every payment, with its date, household, method, status and amount.
    • Methods: Received by method (cash, card on your own reader, online and so on) and Charged by type (membership, hire fees, session tickets, donations, missing pieces and so on).
    • Gift Aid: donations that have a Gift Aid declaration.
  5. To take the payments away as a spreadsheet, press Export payments CSV at the top.

Export the Gift Aid schedule

  1. On the Money tab, choose the Gift Aid tab and set the dates your claim covers.
  2. Check the list of Donations with a Gift Aid declaration. The Claimed column shows any already included in an earlier claim.
  3. Under Gift Aid schedule, tick Mark these donations as claimed only when you are making the final schedule you will send. That stops them being included next time.
  4. Press Export Gift Aid schedule.
  5. Gizzago asks you to confirm it's you, with your password or passkey. Then the file downloads.
What you'll see

A message such as "12 donations in the schedule" with the total. The file is a spreadsheet in the columns HMRC's Gift Aid schedule uses: title, first name, last name, house name or number, postcode, aggregated donations, sponsored event, donation date and amount.

Gizzago does not send the claim to HMRC for you. Your treasurer uses the schedule to make the claim in the usual way.

What can have Gift Aid

Gift Aid is only for donations: money given freely, such as the round-up at the desk. It is not for borrowing memberships, hire fees or event tickets, because the family gets something in return (HMRC guidance, chapter 3, paragraph 3.37). That is why:

  • A donation needs a signed declaration and the donor's address before it can be claimed.
  • Each membership plan has a setting Treat the fee as a Gift Aid eligible donation, which is off. Leave it off unless your charity's adviser has confirmed otherwise.

Gift Aid on donations is switched on in Settings, Fees and payments, with Offer Gift Aid on donations.
