The audit log
Find out who changed what and when, for anything sensitive, from a record nobody can edit.
Who can do this: admins and trustees.
The audit log is a permanent record of the important things that happen in Gizzago: settings changes, money corrections, exports of personal details, team and role changes, cancellations and similar actions. Each entry says when it happened, who did it and what changed. Entries cannot be edited or deleted, not even by an admin.
Steps
- Choose Reports in the sidebar, then the Audit log tab. You can also get here from Settings, Data, privacy and billing, with Open the audit log.
- Read the line at the top. "The log is intact: no entry has been changed or removed." means all is well.
- Read the table: When, Who, What happened and Type. The newest entries are at the top.
- To narrow it down, use the filters above the table:
- Type: one kind of action, such as "Settings updated". Everything shows all.
- About: one kind of record, such as a person or a session. Anything shows all.
- From and To: a date range.
- Press Filter.
- To keep a copy, press Download the full log. Gizzago may ask you to confirm it's you first.
A list such as "Settings updated" by Morgan on a Tuesday evening, or "Exported all library data" by Alex. If nothing matches your filters you will see "Nothing matches. Clear the filters to see everything."
When the log does not add up
Each entry is linked to the one before it, so Gizzago can tell if anything has been changed or removed. If the top of the page says "The log does not add up. Contact support before making changes.", stop and contact the Gizzago team before doing anything else.
Good uses for the audit log
- A trustee checking that exports of members' details were done by the right people.
- Finding out when the loan period or a membership price was changed, and by whom.
- Showing a funder or the Charity Commission that your library keeps a proper record.
Each person's own page also has a timeline of what happened to them, which is often quicker for questions about one family.
