Merge duplicate people
Tidy up when the same person has ended up in Gizzago twice.
Who can do this: coordinators and admins.
Duplicates usually happen when someone joins online after being registered at the desk, or uses a different email address. Gizzago tries to stop this: the Add person form warns This might be someone already here when a name or email matches. When a duplicate slips through, merge the two records.
Merging keeps one record and moves everything from the other into it: notes, charges, payments, loans, children and the timeline. The other record is then removed. It cannot be undone, so check you have the right two people.
Steps
- Press People in the sidebar, then the Everyone chip, so contacts and lapsed members are included.
- Search for the name, for example
ashworth, so both records show. - Tick both rows. The bar at the top says 2 selected.
- Press Merge. Gizzago asks Keep which record?
- Press Keep next to the record you want to keep, for example Keep Kate Ashworth (M-00012). Usually this is the one with the member number, the sign-in, or the longer history.
- Gizzago asks you to check: "Merge ... into ...? This cannot be undone." Press Merge.
A message says Merged one name into the other, and the kept record opens. Its timeline shows an entry for the merge, and the loans, payments, notes and children from the other record are now on this one. The merge is also written in the audit log.
Merge from a person's record
If you are already on one of the records:
- Press More at the top right, then Merge with….
- Under Search for the other record, type a name, email or member number.
- Press Keep next to the record you want to keep, then Merge to confirm.
When Gizzago will not merge
Gizzago refuses, with a plain message, when:
- Both people have their own sign-in. Two accounts cannot become one. Ask the member to stop using one of them first.
- The record being merged away is in a different household that has other people in it. Try keeping that record instead, so the record you remove is the one on its own. Gizzago merges people who share a household, or whose household is just them.
- One of the records has been anonymised.
A person who was added as a contact without a household can be merged into a member's record. Their Household tab offers Merge with someone for exactly this.
