Who can do what
Each person sees what their job needs, and nothing more. Here is who sees what.
Roles are given by an admin in Settings > Team and devices. One person can hold more than one role, for example an admin who is also the safeguarding lead.
The roles
| Role | What they do in Gizzago | Where they land |
|---|---|---|
| Desk volunteer | Runs the desk on an enrolled tablet with their own PIN: lends, takes returns, takes payments, registers families, cashes up. They see one member at a time and no lists, exports or settings. | The desk tablet's "Who's on the desk?" screen |
| Catalogue volunteer | Adds toys and works through donations: Capture, the Intake inbox, the To catalogue queue. They can save drafts but not make toys live. | Toys > Add toys |
| Coordinator | Runs the library day to day: every part of the sidebar for their sites, and nine of the twelve settings groups. | Today |
| Admin | Everything a coordinator can do, plus the team and roles, the public site, connected apps, and data, privacy and billing. | Today |
| Trustee | Reads Today (a shorter version) and Reports, including the funder report. Cannot change anything. | Today |
| Safeguarding lead | Can open and add safeguarding notes on a person. Everyone else only sees that such notes exist. | (added to another role) |
| Member | The families who borrow. They see their own account: loans, reservations, saved toys, household, payments and privacy. | Their account page |
The settings groups coordinators cannot open
Coordinators see nine settings groups. These three are for admins only:
- Public site (your website's look, home page and web address)
- Connected apps (Capture tokens and other links to outside services)
- Data, privacy and billing (exporting everything, how long details are kept)
Extra checks for sensitive jobs
Some jobs ask you to confirm it's you with your password or authenticator code, even though you are already signed in. These are: exporting people or the whole library's data, changing someone's roles, inviting staff, opening safeguarding notes, reversing a payment, exporting the Gift Aid schedule and setting your own web address.
Steps: change someone's role
- Go to Settings > Team and devices (admins only).
- Find the person in the team list and open them.
- Tick or untick their roles, then save.
- Confirm it's you if Gizzago asks.
What you'll see
The new roles apply the next time the person loads a page. Every role change is written to the audit log.
