Write to your members

Tell a group of families something, such as a closure or a new toy delivery, in one email.

Who can do this: coordinators and admins.

Steps

  1. Press People in the sidebar, then the Messages tab, then New message.
  2. Under Who to write to, choose a group: Current members, Memberships ending soon, Lapsed members, People who owe money, People who owe a piece, Donors or Everyone.
  3. Under What kind of message?, choose:
    • About the library for opening times, closures and changes. It goes to everyone in the group with an email address.
    • News and offers for newsletters, events and fundraising. It only goes to people who said yes to news, and includes an unsubscribe link.
  4. Check the line that says how many people will get this. It also tells you how many have no email address, or have not said yes to news.
  5. Write a Subject.
  6. Write your Message. Leave a blank line between paragraphs. You can make words bold by putting two stars either side (**like this**) and add a link as [link text](https://...).
  7. Press Send to and the number, for example Send to 42 people. Gizzago asks Send to 42?
  8. Press Yes, send it.
What you'll see

A message says, for example, Sent to 42 people, and you go back to the sent-mail log, where each email is listed. The email also appears on each person's timeline.

Write to the people in a list

You can start from the People list instead. Choose a chip such as Lapsed, tick the people, and press Message in the bar that appears. The New message page opens with that group already chosen.

Tips for a good message

  • Keep it short. Say the important thing in the first line: "We are closed on Saturday 24 October."
  • Use plain words. Most families read on a phone.
  • Choose the kind honestly. If it is mainly news or fundraising, choose News and offers, so people who said no to news are not emailed. This is what the rules on marketing emails expect.
  • Start small if you are unsure. Try a small group, such as Donors, before writing to everyone.

Good to know

  • Emails only leave Gizzago once your library's email sending is set up. Until then they are kept in the sent-mail log.
  • The email goes out with your library's name, colour and logo, and replies go to your library's reply address.
  • Sending is recorded in the audit log.
