Reminders: due soon, overdue and membership ending
Decide when families are reminded, so toys come back and memberships are renewed without anyone chasing by hand.
Who can do this: coordinators and admins.
Gizzago checks every day and sends three kinds of reminder by itself:
- Loan due soon: a few days before a toy is due back. Standard: 2 days before.
- Loan overdue: a ladder of kind reminders after the due date. Standard: 1, 3, 7, 14 and 28 days late.
- Membership expiring: before a membership ends. Standard: 30 days, 7 days, and 0 (on the day).
Each person gets each reminder only once, and dates in emails always show the day of the week.
Steps
- Press Settings in the sidebar, then Communications.
- Find Reminder timing.
- In Due-soon reminder (days before), type one number, for example
2. - In Overdue reminders (days late), type the days separated by commas, for example
1, 3, 7, 14, 28. - In Membership expiry (days before), type the days separated by commas, for example
30, 7, 0. Use0for the day it ends. - Press the Save button under Reminder timing.
What you'll see
A message says Reminder timing saved. If a day is typed twice, for example 1, 3, 3, Gizzago does not save and
says each day can only appear once. Fix the list and save again.
See what will go out tomorrow
- Press People in the sidebar, then the Messages tab, then Edit templates.
- At the top, Tomorrow's reminders says how many will go, for example "4 due soon, 2 overdue, 1 membership ending".
This is a good check after you change the timing, or before a holiday closure.
Switch a reminder off
If you do not want one kind of reminder at all, switch it off on the Message templates page rather than emptying its days. See Edit, test or switch off a message.
Good to know
- Reminders are not fines. Late fees are off by default and are set separately in Settings > Borrowing.
- You can still chase by hand from Loans > Overdue (see Loans out, and chasing overdue toys). A loan chased by hand moves up the same ladder, and nobody gets two reminders on one day.
- Emails need sending set up. Reminders only leave Gizzago once your library's email sending is set up. Until then they are recorded in the sent-mail log.
