Create a Stay & Play or other event
Set up an event with places and prices, then give it one date or a repeating pattern.
Who can do this: coordinators and admins.
An event is set up once (what it is, where, how many places, what it costs) and then given dates. Each date is a session on the calendar with its own bookings. Hollowbrook Toy Library, for example, runs Stay & Play at St Aidan's Church Hall with 20 places at £4 a child.
Steps
- Choose Calendar in the sidebar, then press Add event. The New event series page opens.
- Under About, type a Title, choose a Kind (Stay & Play, Music or singing, Workshop, Party collection, Pop-up or Something else) and choose Where.
- Add a Description. It is shown on the public events page.
- Under Booking:
- Leave People can book places on for a booked event. Switch it off for a drop-in, where people just turn up.
- Leave Show on the public events page on, unless the event is private.
- Type the number of Places. One place is one child. Leave it empty for no limit. Once it is full, people can join a waiting list.
- Leave Take payment online when booking off if people pay on the day.
- Under Prices, fill in Per child, Per adult and Each extra sibling (leave this empty to charge the child price). Use Free under (months) to let babies in free.
- Under At the session, switch on Toys can be lent and returned if the library is open for lending during the event.
- Press Create event.
- Under When it runs, give it dates:
- For one date, under Add a single date fill in Date, Starts and Ends, then press Add date.
- For a series, under Add a repeat choose the Day, Starts, Ends, How often and From, then press Add repeat.
A message such as "Added Tue 20 Oct". The dates are listed under Coming up, each with a Bookings link, and they appear on the Calendar and on the public Events page.
Taking payment online
Switch on Take payment online when booking only once your library has connected Stripe in Fees and payments. Until then card payments run in test mode and no real money moves. With online payment on, a place that is not paid for within 30 minutes is released for someone else.
Change an event later
Find the event under Events on the Calendar's Rules and closures tab and click it. Change what you need and press Save event. A repeat can be ended with Stop, then Stop repeat.
Eventbrite is not available yet: bookings are taken on your Gizzago site.
