Cancel a session or event date
Call off one session or event date, tell everyone affected, and keep the calendar honest.
Who can do this: coordinators and admins.
Use this when a single date cannot go ahead: the hall is unavailable, the heating has failed, or nobody can run it. If you are shut for a whole day or a holiday at a site, a closure is quicker, because it cancels every session on those days (see Weekly rules and closures).
Steps
- Choose Calendar in the sidebar, then List.
- Click the session or event date, for example Music Makers next Friday. It opens on the Details tab.
- Scroll to Cancel this session. Gizzago tells you who will be affected, such as "This will affect 6 booked places. People booked are emailed.", or "Nobody is booked or has reserved for it yet."
- Type a Reason, such as "Hall unavailable". Families see it in their email.
- Press Cancel session, then Cancel session again to confirm.
"Session cancelled", with how many bookings were cancelled and emailed. A banner across the session page reads "Cancelled:" and your reason, and the session no longer has a Pack or Open desk button.
What Gizzago does for you
- Event bookings. Everyone booked, and everyone on the waiting list, has their booking cancelled and gets an email with your reason. Any unpaid charge for the booking is cleared.
- The public site. The date disappears from the public Events page. Anyone who opens an old link sees "This session has been cancelled."
- Reservations. Toys reserved for a cancelled lending session are marked as at risk. They show on Today under Needs attention, so you can move them to another session (see Manage a reservation).
- The record. The cancellation is kept in the audit log.
A session that has already started cannot be cancelled. Close it at the desk in the usual way instead.
Moving rather than cancelling
You cannot drag a session to another day. Cancel it, then add a new one on the right date (see Add a session, or start one now). For an event, add the new date from the event's page with Add a single date.
